Data Collection Tip: Collect Dates Correctly

If you plan on using your data in the future, collect it in a format that is usable from day one. Dates on online forms are one of the easiest things to get right, and one of the most often ignored.


When a form lets people type a date into an open text box, you will get every format imaginable, plus spelling mistakes and dates that have not happened yet. If that data is going to be used in an analysis, someone has to clean all of it up by hand. That is time and money spent fixing a problem that could have been prevented automatically.


A few simple choices will keep your date data usable. The biggest one is a date selector, the pop-up calendar built into most modern form tools. When people pick a date instead of typing one, responses come back in a consistent format. Most tools will also let you restrict the range of allowed dates, so an entry from the future never gets in.


Another helpful tip is to ask for date ranges as two separate fields. In general, every line on your form should ask for one thing only. If you want the period someone worked, ask for a start date and an end date as two separate questions. If they are a current employee, add a checkbox for that and let them leave the end date blank.
